Updating your schedule (dates/times you are available)

Taskly allows you to choose what days and times you are available for services. You can also define certain days off, e.g. public holidays, and split your days up, e.g. you may work a few hours in the morning, and a few hours in the evening.

You can update your schedule at any time, and the booking system will be automatically updated.

Entering your availability as far in advance as possible will enable your regular clients to rebook you more easily as they will be offered more booking slots to choose from when looking at your profile.

You can also connect Taskly to your external Google Calendar so that it can determine when you are available based on external appointments, e.g. from other systems, you might use like Timely and Fresha, and holidays. If you have an appointment in your Google Calendar, Taskly will automatically know you are not available, and not display the dates/times for bookings (even if you have set the days/times as available in the Taskly schedule).

Set your availability

We do not require you to meet a minimum availability per week. However, we do recommend that you try and put in at least 15 hours of availability each week to ensure you make the most of Taskly.

Click My Schedule

Tick which days you would like to be available for bookings.

For each day, select which time you would like to start bookings from, and which time you would like your last booking to be finished at the latest.

The start time is the time at which your first booking may begin. The end time is the time at which no bookings will ever run past. For example, if your last booking time is 5 pm, a customer would not be able to book a one-hour service with you at 4.30 pm (as this would run past 5 pm).

If you would like to split your day up, e.g. work 9-11 am and then 3 pm-7 pm, press Split Shift. You can have up to two split shifts on a single day.

Once you have set your schedule, press Save. The Availability Slots Updated message will be displayed at the top of the page.

Enable or disable same and next-day bookings

Taskly allows you to choose whether you accept bookings on the same day, and if so how much notice must be provided.

Example: If you have same-day bookings enabled, with a buffer period of 60 mins, a customer will be able to book you in with as little as 60 minutes' notice.

  • To enable same-day bookings, from the Schedule page, click Allow same-day bookings.
  • Enter the notice period for same-day bookings. This is how much time at a minimum you need to prepare for bookings made on the same day.

You can also configure if you want to accept bookings for the next day, and if so how much notice must be provided.

Example: If you have next-day bookings enabled, with a buffer period of 60 mins, and a usual start time of 9 am. A customer that visits your profile today will be able to book you in for tomorrow, but not until at least 10 am. All other days past that, they will be able to book you at 9 am.

  • To enable next-day bookings, from the Schedule page, click Allow next-day bookings.
  • Enter the notice period for next-day bookings. This is how much time at a minimum you need to prepare for bookings made on the next day.

Set your holiday dates

Click My Schedule.

Enter the date/s which you would not like to be available for bookings. Taskly will show you as unavailable on these dates.

You can also connect Taskly to your external Google Calendar so that it can determine when you are available based on external appointments. If you have an appointment in your Google Calendar, Taskly will automatically know you are not available, and not display the dates/times for bookings (even if you have set the days/times as available in the Taskly schedule).  This will save you from having to manually update your days off in Taskly.

Once you have added your holiday days, press Save. The Availability Slots Updated message will be displayed.

Remove a holiday date

Click My Schedule

Find the holiday date you wish to remove and press Remove.

Once you have removed your holiday days, press Save. The Availability Slots Updated message will be displayed.

Add or edit your buffer period between appointments (optional)

Taskly allows you to set a buffer period (in minutes) which is automatically added to any bookings that you receive. This means you have time to have a break/travel to your next bookings. You can define what buffer period you have.

Most practitioners have a buffer period of 30 minutes, but you may need to extend the period if you are covering a larger service radius.

Click My Profile.

Enter a numerical number in Buffer Between Appointments (Minutes).

Press Update Profile. You will see a message to say 'Profile Updated Successfully'.
